Set up of User Accounts and circumventing the Self-Assessment surveys

  1. The ability to set up Users with SkillsTX Planner Accounts and totally circumventing the Self-Assessment surveys. The setup of the user personal details and their skills profile is then managed via their Planner Account.

    • This functionality was specifically requested by a SkillsTX Partner to facilitate a requirement for specific on-boarding process, required by their customers. However it coincided with a number of customer requests for similar alternative on-boarding processes.

    • Why may you want to do this?

      • Your organization may have a specific initial focus/priority on matching skills to jobs. While still important, the capture of ALL relevant skills is considered a secondary priority. Instead of on-boarding users to SkillsTX and SFIA via self-assessment surveys, a more staggered approach can be adopted. This will possibly require a much more hands-on approach and an alternative style Awareness campaign. Example:

        • Users gets a guided introduction to SkillsTX up front rather than a SFIA and survey intro:

          • Users get Planner account access, are assigned to Managers and assigned Jobs Requirements

          • From a blank skill Profile, they then add SFIA skills directed as directed and required based on their assigned Job Requirement.

          • They are guided on how to add evidence.

          • Their Managers are guided on how to review Evidence.

          • The Users update their Skill Profiles accordingly and request approvals.

          • Manager approve Profiles.

        • Bear in mind that with this approach the ability to track “latent” skills will not be available until users are able to capture ALL their relevant skills.

Making this functionality available in your system

  1. From Admin/Manage Features/Settings set:

  1. Ensure you have informed the Users of what to expect and your expectations on what they will need to do. i.e. It will require a different style of Awareness campaign to the standard.

  2. When setting up new Users that you wish to skip the self-assessment surveys, either Manually or via Import set their field Skip survey = Yes

    • Note1: The Skip survey field becomes active when the functionality is made available, and will be available in the Users Meta Data, and for the Import Template.

    • Note2: The field will also appear in the Manage Users table, but the column will probably need to be made visible if needed.

  3. Make sure the Email Template User setup without self-assessment is in line with your organizational standards as per survey invitation emails etc. Edit/Change/Save as needed.

    • Note1: If using SSO, then the email may need to be changed to inform them that a password reset may NOT be required etc.

    • Note2: Ensure you retain the line that includes $UserSetupLink$ as that pertains to the Password reset link they will receive.

  4. Assign the Users for surveys in exactly the same way you would for users who will be completing surveys

    • And send the survey invitation Emails in exactly the same way you would for users who will be completing surveys.

    • However it will actually send the User setup without self-assessment email instead.

    • Note: If using SSO they will possibly not be required to actually reset their password.

  5. When the User logs into their Planner they will find:

    • Their Personal Details will need to be edited & populated

    • Their Skill profile will be blank, and will need to be created using Create Profile, and populated as per your processes.

  6. The rest is basically Business As Usual (BAU), based on your processes.
