2.1 Un-Assign Participants

Un-Assign Participants

You are able to Un-Assign participants that you have previously assigned (and invited for surveys) with some proviso’s:

  • You cannot immediately Un-Assign a Participant if they have already started their surveys

    • i.e. Survey Started status = TRUE.

  • You cannot Un-Assign a Participant at all if they have already completed their assessment 100%

    • Check the Percentage ( % ) in Track participant progress

  • You cannot Un-Assign a Participant at all if they were setup with Skip survey = Yes

To Un-Assign someone:

  1. Use the Search to filter on the required Participant/s (if needed)

    1. Note: You can only Un-assign people with a Survey Started status = FALSE, so only those will appear in the list

  2. Select the X Un-Assign button

    Note: the Process Un-Assign button will NOT yet be in focus

  3. Select the Participant/s you wish to Un-Assign

    Note: the Process Un-Assign button will now be in focus

  4. Select the Process Un-Assign button, and you will need to Confirm you wish to proceed

  5. And the Participant/s will become Unassigned AND if they had already previously been send an invitation email, the Invited status will be reset

     

Warning: If you Un-Assign a Participant and re-assign them again in the future, you will need to send them a new assessment invitation Email, which will contain a new unique assessment link. Their old email link will either not work, or have dubious outcomes

Un-Assign Participants that have already started their surveys

You will be able to Un-Assign a Participant if they have not yet completed the full assessment 100%, however it will require co-operation with the Participant themselves first.

To Un-Assign a Participant that has started their assessment, but not yet completed it:

  1. You will need to ask the Participant to:

    1. Select their Assessment (Survey Portal) link in their assessment invitation Email

    2. Ask them to use the Start Again button found on their Survey list Home Page

    3. They will need to confirm that they wish to Start Again with an OK on the resultant pop-up

    4. This will then return them to the Initial Survey page

    5. They should then Logout of the assessment

    6. Note: Their Survey Started status will have been cleared and reset to FALSE and their Invited status will also be reset = FALSE

  2. You will now be able to Un-Assign them as per the Un-Assign Participants instructions
