1.3 Import (Users)
Import
You are able to Import new Users or Manage user information by using the Import functionality. You can use either the Import Template or the output from an Export (Excel Worksheets) to import New Users or change current User details.
Before Importing Users, we recommend that you always 1st check either via an Export or Downloading of the latest Template, that the Excel Import format is the latest. Improvements are released periodically that may have an impact of the Import Template,. (i.e. Check all the possible columns (User Fields) are are present and in the correct sequence).
The Role Based Survey field if being used, requires to be populated by the Requirements Unique ID, NOT the Requirement Name.
Select the Import button. This will show the following pop-up dialogue
If you do not yet have an Import Template or output from an Export you can download an empty template using the Download Bulk Template button
Save & rename this file as required etc
This file can now be edited and populated with new people you wish to add to the list of people
Warning: When editing/updating a persons Info, replacing the contents of a field with null or a space will clear the field of any previous value.
Once you are ready to Import select the Type of Import you wish to do
Insert & Update - will Insert People that have an email address that does NOT already exist in the system and Update people it finds with an existing email address
Insert Only - will only Insert People that have an email address that does NOT already exist in the system and ignore people it finds with an existing email address
Update Only - will Update people it finds with an existing email address and ignore People that have an email address that does not already exist in the system
Use the Select Files button to select the file you wish to import
And use the dialogue to select your file
You should see something similar to this after selecting your file
To continue with the Import select the Perform Upload button
After the upload has completed you should get a brief message in the Top RHS e.g.
Note: It will only show briefly then disappear
Notes:
Invalid fields or null mandatory fields will cause the person to not be updated, and produce an error message.
Duplicate email addresses will not be imported
