6.2 Import/Export to change relationships
Exporting Current Relationships
To export the current relationship configuration to an Excel file:
Use the Export button
This will download an Excel Workbook of the current relationship configuration to a folder based on your browser settings. e.g.
The file format is suitable for having changes made and then Imported as required
The file may include Mentor relationships. These can be established as part of the Mentor/Mentee processes, and some care is needed when making changes. e.g. Only remove them if specifically requested to do so, or if you are understand exactly why they were setup.
Importing Relationships
Please Note:
When using the Import functionality, Processing an upload workbook will delete and replace ALL existing relationships
The timing for running Imports, should be taken into consideration and possibly run off-peak. Several SkillsTX functions make use of Relationships, and mid-process interruptions could produce unreliable outcomes.
Example: Running a major Import during a Profile Approval process by a Line Manager can cause an unrecoverable interruption to the relationship, and an incomplete approval.
Use the Import button
This will open the Import dialogue pop-up
Downloading an upload template
Use the Download Bulk Template button in the Import Pop-Up
This will produce and save the template file in a download folder as specified in your Browser configuration e.g.
This Template can then be edited and populated with the Relationship information you require for Importing
Importing an Upload file
Use the Select Files button to kick-off the dialogue to select your prepared Upload file from your device
Select and Open the Upload file
Once the file/s have appeared in the Files to upload block use the Process Upload button to replace the current Relationships configuration with the one specified in your Upload file
You will need to acknowledge the Warning Pop-Up (Press OK) to continue with the Import
You should get a brief prompt in the Top Right of the browser window acknowledging the success or failure of the Import e.g.
Errors that could prevent the successful Import of an Upload Workbook are usually:
Email Addresses that do not exist in the lists
Either the Leadership or Employee email columns
An invalid Relationship Type specified
A Relationship specified for more than once for the same Leader/Employee combination. Or if it does not actually fail, the outcomes could be dubious. (e.g. The last one of the duplicate relationships processed may be the only one configured)
