5.7 Step By Step Guide - All Assignments

This Step by Step Guide applies to all the Assignment Tasks. It describes the details about how to assign people for for each of the following:


Allocating Individuals for Assignment Step-by-step guide

  1. You have the ability to filter the Available Individuals table by selecting a different Group name to the default (Show All Resources).

    1. Select the Group drop-down

    2. e.g.

    3. It includes the 2 system generated Groups of Recently Added (within the last 7 days) and Show All Resources (Default)

    4. Under the Groups heading will be any locally User defined Groups. They are created and populated using the Manage Groups admin task

    5. Select the group you wish to filter on

    6. Click the

      button to populate the Available Individuals table based on the group filter

  2. Select the people for Self-Assessment in the Available Individuals table

    1. You can Select each individually

    2. Or you can use the Select All button to select all the ones showing in the current Window

      1. Note: Deselect All will regress the Select All

  3. Press Allocate ↓ button to allocate all those selected

    1. Those will then be moved to the Allocated Individuals Table

    2. They will have an Allocation status of Allocated

  4. They will now be available for sending a Request self assignment or Send Self-Assessment Invites Emails

 

If the person you wish to allocate is listed in the Not Available Individuals table, See the Dealing with Not Available Individuals Step-by-step guide below for guidance on what to do.


Removing Individuals allocated for Self-Assignment Step-by-step guide

  1. Select the Select box for the individual to be removed (See Info below)

    1. You can select Individually or use Select All  and Deselect All

  2. Press the Remove ↑ Button to Remove them from the Allocated Individuals table and return them to the Available Individuals table

What Individuals are eligible to be removed

You are only able to remove an allocated individual if they have NOT started or completed their self-assignment survey.

 


Dealing with Not Available Individuals Step-by-step guide

How to deal with individuals listed in the Not Available Individuals table that you need to allocate for self-assessment. You will note that extra information is provided in this table to assist identification.

Your Options are:

  1. Change their email address to be unique and then select them. (e.g. Use an alternative email address such as a alias or personal email)

  2. If they wish to retain their other instance, then ask them to have their email address in the other workspace changed to something else such as a personal email address. (This may require a Request to us via the Service Desk if it is a workspace under our control such as the free self-assessments).

  3. If they do NOT wish to retain their other instance, then organise for their other instance to be made Inactive.

    • Options:

      1. They are able to use the Forget Me option in their Planner settings of their other instance if the GDPR option has been evoked in the other workspace. Note: This option IS available for our free self-assessments.

      2. If option (a) is not available, it entails (usually) changing their other email address to something invalid and making their person instance Inactive in the other workspace. (This may require a request to us via the Service Desk if it is a workspace under our control or if the other instance is unknown).
