6.1 IT Professional Individual Reports

This task is used to generate the various Individual reports from the Management Console, as well as for setting up the email templates and approvals for provisioning the ability for Employees and Candidates to receive the reports directly from the system automatically. These may be reports generated after a specific event (e.g. Completing Self-Assessments), or Selecting a new report from their Planner Console, or being sent via this task by the Administrator.

The email templates must be Approved and set to Auto Send for them to be sent Automatically. Refer Notification Approval Step by Step Guide below

Besides the Reports tab (default), There is a tab for each of the different Individual reports for template approval and setting Auto Send capability

 

The Migration Analysis email template may by default, for many circumstances, have a blank Subject Header and email content, so will need to be populated. Use one of the other templates as guidance, however the messaging may form part of an important communication plan prior to migration.

The name of the person for whom the report is generated

Assigned Assessor

If they were Endorsed/Validated the name of the Assessor

The % completion of their Self-Assessment surveys. (i.e. You will not be able to generate a report for anyone that has not completed their surveys 100%)

Generate Reports Step-by-step guide

  1. Check the Individuals survey completion % (Needs to be 100%)

  2. Select the Report Type to be generated. (Note you can select more than 1 at a time). The following selection options are available:

    • Manual selection OR use the following buttons:

      • Action Plan - pend - Will select all Action Plans for people with Action plans that not yet been printed

      • Endorsed - pend - Will select all Endorsed/Validate profile reports for people that have have one available, and that have not been generated previously

      • Job/Role Match - pend - Will select all Job/Role Match Reports for people that have not been generated previously

      • Self-Assessed - pend - Will generate Self_Assessment profile reports for all people with 100% completion and that have not been generated previously

      • Reset - Resets all previously generated reports

  3. Generate the reports using either:

    1. Generate Reports - Will generate the reports and send the links to you as the Administrator via emails

    2. Generate with Participant Email - Will generate the reports and send them directly to the participant via automated emails.

      • The relative Email template must first have been Approved and set to Auto Send


Notification Approval Step-by-step guide

  1. If required, customise (Edit) the Email Templates (Subject & Message) according to your requirements.

    1. Make the changes required

    2. Save the Template using the Save button

    3. Use Send Test to send yourself an example of the changed template

  2. re-iterate the above steps until satisfied with the changed template. Note: More detailed instructions about editing email templates can be found here: Editing Standard Email Templates

  3. Set the template to Approved by selecting Approved from the selection drop-down box

  4. Toggle the Manual Send to be Auto Send (e.g. following Self-Assessment survey) using the drop-down selection box (if it is available)
