4.4 Define/Manage Org Structure

The definition of an Org Structure provides the functionality for Team Leaders and Line Managers to use their Planner interface to view the profiles and Action Plans of the people assigned to them, and use a set of Analytics pages limited to the people defined under them only also from within their Planner Console.

The reason for 2 different levels of assignment is that Line Manages have the added ability to make changes to the Action Plans of the people assigned to them. Line Managers are often the budget holders, and therefore would may be required to sign-off Actions in a persons Action Plan.

Define Team Leaders and Line Managers Step-by-step guide

The Org structure is able to be seen and defines from 2 different perspectives at the same time:

  • Has Team leader/Line manager Of - Is from the perspective that the person selected from the Resources Table is assigned to the TL/LM in the panel

  • Is Team leader/Line manager For - Is from the perspective that the person selected from the Resources Table is the Team Leader (TL) or Line Manager (LM) of the people in the panel

  1. Select the Person you wish to define from the Resources Table

  2. The Team Leaders/Line Manager panels show any current definitions

  3. Select the relevant Tab (Team Leaders or Line Manager)

  4. Using the Has Team leader/Line manager Of perspective panel:

    1. To Remove some who has already been allocated, select the allocated TL/LM in the panel and press the Remove- button

    2. To add someone as the TL/LM of the person selected in Resources first press the — Select Person — Dropdown

    3. Select the person in the drop-down who is nominated as the TL/LM

    4. Press the Add+ button to add them to the panel

  5. Using the Is Team leader/Line manager For perspective panel:

    1. To Remove some to whom they have already been allocated, select the allocated in the panel and press the Remove- button

    2. To add a person to the team for the TL/LM selected in Resources, first press the — Select Person — Drop-down

    3. Select the person in the drop-down who is to be nominated as being assigned to the TL/LM

    4. Press the Add+ button to add them to the panel

Export Relationships Step by Step Guide

You are able to export the current relationships into a file suitable for using as a Bulk Upload. The file can then be changed as required and Re-imported using Import Organisation Structure.

  1. Select the Export Relationships button on the top of the page.

  2. Use the resultant dialogue to save the exported file (Excel Workbook) on your own system/PC

  3. Edit the Worksheet as required.

Import Organisation Structure Step-by-step guide

  1. If you are NOT using a previously Exported Relationships output file you will first need to download the template by pressing the Bulk Load template button, and using the resultant dialogue to save the downloaded template (Excel Workbook) on your own system/PC

    1. Populate the Workbook with each row containing a single relationship as follows:

      • LIneManagerEmail - The email of either the Line Manager or Team Leader

      • TeamMemberEmail - The email of the person

      • RelationshipType - Select either Team Leader or Line Manager

    2. Be sure to retain the Header Row

    3. Remove the sample row 2 if not already overwritten

    4. Save the template

  2. Choose the type of Update insert and update option you wish to use:

      • Update and Remove - will remove any previous relationships NOT specified in the file being uploaded, OR if a relationship type is not specified in the file. This Type especially suitable for replacing the whole Org Structure using a file exported previously and then amended accordingly

      • Update only - Will add the relationships specified in the file

      • See Warning Note below

  3. Use the Select Files button to enter the dialogue to select the file you wish to import from your system and then import the Org Structure

  • The import will replace any structures already defined for the defined relationship

  • The Email addresses defined must already exist for individuals defined in the system otherwise the relationship will not be added
