4.1 Configure Workspace

Configure Workspace is used to manage a number of fields and settings within the Workspace

 


Standard fields and Settings


What is the name of the Organisation/Division for this workspace?

The Workspace Owner. This was selected when the Workspace was setup. Cannot be changed

What is the name of the Workgroup being assessed?

The Workgroup name for the Workspace. This was selected when the Workspace was setup, however it can be changed. (Select the required Workgroup from the list).

Approximate number of staff within the workgroup?

Optional: input the number of staff. (Indication of number of licenses required)

Who is sponsoring this workspace?



(Note: Includes an Add button)

The Person in the organisation Sponsoring the Workspace. Normally a senior person that provides a level of gravitas to survey completion etc. Referenced in the Survey landing page.

Select the person from the dropdown list.

If the Sponsor has not yet been set up under the setup individuals then using the Add button will bring up a pop-up window to register the main details for that person and add them to the individuals list. The person can then be selected as the Sponsor.

Who is administering this workspace?

The main Administrator for the Workspace. The Workspace will appear in the My Workspaces tab for this Admin. can be changed by selecting an alternative Workspace.

Describe the Workspace:

A brief description of the use of the Workspace. For tenancies holding multi Workspaces it is practical for the descriptions to be unique in order to able to differentiate between them.

Please select the subscription level for this workspace:

Note: It is not currently relevant to change this. keep setting to Define.

What is the scheduled start date?

Info only. Scheduled start date usually set when Workspace setup.

What is the scheduled end date?

Info only. Scheduled end date can be set as far into the future for the expected life of the Workspace.


What is the message to be displayed on surveys?

This message is displayed on all surveys. can be changed to suit. e.g. You may wish to tell everyone to utilise project code to for time spent completing surveys. Default: Please complete your surveys by the target date above

What is the target survey completion days after invite?

The target completion date message on the surveys reflects the number of days after the survey invitation is sent. It also provisions the date for auto reminder emails to be sent.

Enable account creation and planner access for individuals?

Provides the ability to inhibit access to peoples Planner console for managing their profiles. Select No to inhibit access.

Enable users ability to Forget and Erase themselves from the system?

Invoke the GDPR option by selecting Yes. Allowing individuals to remove themselves from the system

Enable create account in survey portal

Provides the ability to optionally toggle Off and suppress the Create Account dialogue for individuals to set-up their Planner access via a password reset after completing their surveys. Designed for organisations that are using Single-Sign-On (SSO) for access to SkillsTx, and for whom setting up a Planner password is generally redundant.

  • Yes (Default) - Standard prompting for Create Account

  • No - Will toggle off the Create Account prompting for SSO's

Enable users to share their profile to other organisations and workspaces?

Allow individuals to share their profile with other organisations by selecting Yes. (Currently not yet provisioned)

Who has Planner Approval permissions?

Allow Managers and/or Team Leaders to approve the Self-Assessed Profiles of individuals assigned to them in the Org Structure, via their Planner Console. See Enable Approval Request below, to enhance this capability. Select from:

  • Disabled (Default)

  • Managers Only

  • Managers and Team Leaders

Enable Approval Request

Provide the functionality for Individuals to request that their Self-Assessed Profile be approved via their Planner. An extra Button Request Approval appears in the MyProfile Planner page. Works in conjunction with the Who has Planner Approval permissions (above). The requests trigger an email to the Approver, as well as an icon indication in their MyPeople planner page that a, approval request is outstanding.

Enable Users To Edit Profile Detail?

Allow Users to edit their Profile details in their Planner Console. This is provided in the event the name is being maintaining via API from HRIS, in which case setting this to No may be required.

Enable Survey Tutorial Prompt

Enables a Pop-Up prompt to show when the first survey is selected. This is to help overcome the frequent occasions where the rating feedback clearly indicates lack of understanding of the process.

The Pop-Up message is: Great, you are about to start your skills inventory. Have you attended an awareness session or watched the tutorial? Yes/No.

If No is selected then it takes them to the Survey Tutorial Url

  • No (Default) - No pop-up will be displayed

  • Yes - The Pop-Up will be displayed

Use SSO Link in survey invite?

Provides the ability to allow a Single-Sign-On (SSO) link to be utilised in the Survey invitations rather than the standard token link.

Note: Only applicable for organizations that have arranged SSO with SkillsTX

  • No (Default) - The standard Survey token link will be used

  • Yes - The invite will use SSO Link

Survey Tutorial Url

If no Url is provided (Empty), then it will default to the current SkillsTx standard survey tutorial playlist.

Survey Status

Provides the ability to inhibit access to all surveys. To prevent access to surveys select Closed

Workspace Status

Provides the ability to inhibit access to the Workspace. Can be used when a Workspace is no longer required. The Workspace will then appear under the Closed tab for selection.

Branding Logo

Use the Add Logo link to enter the dialogue to upload a Logo for the Workspace. If one already exists and showing select the logo to delete or change it. A Workspace Logo supersedes all other Logo in the hierarchy.

The Logo is shown on the Surveys and the Management & Planner Consoles. The order of Logo visibility is:

  • Workspace Logo supersedes all those below here

    • Org/Div Logo supersedes all those below here

      • Tenancy Owner Logo supersedes those below here. (Normally applied when the tenancy is initiated for a company)

        • SkillsTx logo is the default if no others have been added


Notification Settings

This can be used to enable and configure automated notification emails directly from the system to the individuals based on the criteria




Notification

Planner - No Activity

Will be sent if there has been no Planner activity at all



Planner - Action Plan Past Due Date

Will be sent if there are Actions that have gone past their due date without been set to completed



Planner - No Action Plan for Assigned Jobs

Will be sent if there is no Action Plan against a job/role that was selected and/or assigned

 

Evidence - Expiry Approaching

Will be sent when Evidence is approaching it’s expiry date (30 days)

 

Evidence - Expiry Reminder

Will be sent as a reminder of Evidence that is approaching it’s expiry date after the initial Expiry Approaching notification

 

Evidence - Expired

Will be sent to inform that Evidence has passed it’s expiry date

Interval

The Interval in days between notifications

Is Enabled

Can be used to inhibit notifications. Select No to inhibit the notification

Start On

The start date to begin sending notification

End On

The end date to stop sending notifications. when set to Empty, the notification will stop on the current renewal date for the Workspace license subscription


Reminder Settings

This can be used to enable and configure automated survey invitation email reminders directly from the system to the individuals based on the criteria


Enable auto reminders

To inhibit the automatic sending of survey email reminders: select No

Number of days after invite to send first reminder

The number of days after the initial invitation to send the reminder Default set to 4

Number of days between reminders

The number of days between reminders before the next one is sent. Default set to 4

Total reminders to send

The total number of reminders that are to be sent. The default is set to 2.

Note: Too many reminders being sent can become counter-productive, and they may be considered as spam. After 2 reminders it may be more prudent to chase people for survey completion by talking to them personally.


Recruitment Settings

Available for self-provisioning self-assessment surveys of external candidates for recruitment purposes
