Trial Partition/Workspace setup

This is how to setup a trial Partition and Workspace, including a sample EBS Sandbox Workspace for a prospective client. You will be required to have been set up as a Very Super Admin to do this.

Instructions

  1. Before setting up the trial partition you may wish to prepare by finding/producing a .jpeg or .png file of their Logo to add their default branding to their portal, Survey and Planner pages. This is not imperative to providing the trial but it will give them a better experience. It can also be done after the trial setup if needed.

  2. Login to the SkillsTx partition using your Super Admin ID/password

  3. e.g. once logged in:

    Note: If you cannot see an

    button then the login ID you have used does not have the necessary permissions and access.

  4. Select Admin button to enter the Admin Console:

  5. At this point it may be prudent to check that a partition does not already exist for the intended Provider. You can use the Search capability to check the organisation does not already exist in the system.

  6. If you decide to proceed then fill in the necessary details under Add New Provider:

    If this is a Free Trial then you will need to select the Free Trial box as per above. Note: The website details are not imperative, but useful.

  7. Once satisfied with the details you have input, press the Add Provider button:

  8. The new Provider should now show in the list of Providers.

  9. Select the Provider you have just set up. (e.g. In this case New Provider Limited)

  10. Select the Cartridges Tab and scroll down to SFIA v7 and set it to Allocated:

     

  11. It should look like the following afterwards:

  12. Return to the Users Tab, and you will now need to add the details of the person they have allocated to be the initial Administrator of the Workspace. (Usually the person that has requested the trial).

  13. Add their details e.g.:

  14. Once satisfied with the input data press the Add User button.

    Note: This will initiate an email with sign-up instructions for the new new Administrator. The next few steps need to be completed reasonably promptly before they have had the chance to actually login into the system. The email they receive will be similar to the following:

     

  15. The User will now appear in the Users table:

  16. Select the Access type under the Access column, as you will need to change this to provide them with Super Admin access. Select Super Admin from the drop-down box and set it using the tick:

  17. You may also want to add some of the other optional details such as their Position.

  18. In most cases you will also want to add the Sample EBS Sandbox Workspace to their partition in order for them to be able to experiment before they start setting up their own Workspace. To do this select the Load Sample Workspace button which should now have appeared:

    Notes: After pressing the button it may take a little while to respond, and your screen will refresh.

  19. Once it has refreshed and completed the Load Sample Workspace button will have disappeared, and you can check that the EBS Sandbox Workspace has been installed by clicking on the Organisations Tab. You should now see EBS as an Organisation:

  20. At the top of the page you should now select Admin to return to the Providers page:

  21. Use the Search to search for the Provider you have just set up:

  22. You can now select Add Logo under the Branding column of your new provider and add their Logo if you have prepared a suitable logo file. You will need to go through a dialogue to select the logo file from somewhere on your PC and import it into the portal. Once imported the logo will then show in the table and it will appear on all their Portal, Survey and Planner pages until such time as they may choose to add a specific Workspace logo for themselves. Note: This step can be returned to and completed at a later time if you do not have a logo file handy.

  23. Logout of the Admin Console.

The setup will now be complete. They will have received all the necessary instructions to kick off their trial and eventually their own workspace etc.
