This task lists the participant job matches selected by the individuals and provides the functionality to assign both Current and Future Jobs on behalf of individuals. It also provides the functionality to inhibit the ability for them to assign their own Current or Future Jobs if required and to set a Proposed Job, which can be used for modelling purposes.

Assigning Future & Current Jobs

Future and Current Jobs are able to be assigned directly from this console on behalf of an Individual. Whether or not this should be carried out by the Administrators will depend on the arrangements with the employees.

A typical scenario: (Which can help ensure conformity and provide more predictable analytics outcomes)

  • Current jobs locked (See instructions below) so employees are unable to select them themselves

  • Future job unlocked

  • Administrators assign Current jobs

  • Employees are able to assign their own Future jobs

Note

Current and Future and Future should Never be assigned exactly the same Job/Role. The job assignments are designed to produce skill gaps based on the assignments, and duplicating these would cause duplication of skills gaps and unreliable analytics. Future jobs were designed as future targets, so if not required then leave unassigned.

Note: The consequences of assigning the same job to both is: The last assignment takes precedent. It acts like a switch setting them the same same will cause an overwrite of the original one.

Assigning Proposed Jobs

Proposed Jobs are not able to be selected by the person themselves in their Planner. It is designed to be assigned in order to be able to carry out What-If style modelling. Usually Proposed Jobs are NOT made available to anyone, but can be seen by the Administrators and assigned here.

The Future Job assigned to them. Able to be selected in order to change the Future Job assigned to them on their behalf.

Proposed Job

A proposed Job assigned to them. Able to be selected in order to change the Proposed Job assigned to them.

Step-by-step guide to Planner Job Editing Control

To lock either Current or Future jobs to inhibit them from being able to be selected by Individuals via their Planner Console then:

  1. Select the Lock value

  2. Set it to the required value:

    • e.g.

    • Yes = Locked from being changed via the Planner

    • No = Able to be changed via the Planner

  3. Save the new value


Step-by-step guide to Export Job Match

This provides the ability to export the Current Job Match table into a file (Excel Workbook), suitable for re-importing using Upload Job Match.

  1. Select the Export Job Match button at the top of the page.

  2. Use the resultant dialogue to save the file to somewhere suitable on your own PC.

  3. You can now edit the file suitable in readiness for using as an Upload file.

Step-by-step guide to Upload Job Match

This provides the ability to carry out bulk uploads for assigning people to their Current Role.

Note

For the Upload assignment of an individual to be successful, the individual must have first been previously allocated for a self-Assessment.

  1. Unless you are intending to use a file previously exported using Export Jobs, you will first need to Download the Bulk Upload Template using the button.

    1. Edit the downloaded template (Excel workbook) with the changes required (note: replacing the sample row): 

      • Email column - Email addresses of the people to be assigned a Current Job.

      • JobReference column - The Reference of the Job Description to be assigned.

    2. Save the edited Template on your PC (With an appropriate filename)

  2. Choose the type of Upload insert and update option you wish to use:

      • Update and Remove (Default) - This action Type will remove any previous job matches NOT specified in the upload file. It will also remove any Job references with a blank JobReference. This is an ideal selection when updating ALL the references from a file exported previously using Export Job Match and changed accordingly.

      • Update Only - Adds new job matches only

  3. Select the required import file using the button.

  4. Once the Upload File selected shows under Files to upload, perform the using the Perform Upload button.

  5. Accept the pop-up describing the outcomes.

Tip - JobReference

JobReference is the Reference field assigned to a Job/Role. However, Reference is not a mandatory field for Job/Roles.

Therefore, you will need to ensure that any Jobs/Roles you wish to assign using this Bulk Upload functionality, DO have a (unique) Reference field assigned to them.

Note: These can be checked and edited if required using Job/Role Management
